1. About these terms
These Terms & Conditions govern enquiries, bookings, and tours made with Sri Lanka Cycling Tours ("we", "us", "our"), a cycling tour operator based in Colombo, Sri Lanka. By submitting an enquiry, paying a deposit, or joining a tour, you agree to these terms on behalf of yourself and everyone in your party.
This page is a plain-language summary of our standard terms. The specific terms that apply to your trip, including final pricing and any tour-specific conditions, are confirmed in writing by email at the time of booking and take precedence over this page.
2. Enquiries and quotes
Submitting an enquiry does not create a booking or reserve dates. Quotes are valid for a limited time and may change based on availability, group size, season, or currency fluctuations until a deposit is paid.
3. Deposit and payment
- Deposit: A 30% deposit is required to confirm your booking and reserve your dates. The deposit is non-refundable once paid.
- Balance: The remaining balance is due 30 days before your tour start date. We'll send a reminder in advance.
- Late bookings: For bookings made within 30 days of departure, full payment is required at the time of booking.
4. Cancellations and changes
We understand plans change. Our standard cancellation terms are:
- More than 30 days before departure: The deposit is retained as credit toward a future tour with us; it is not refunded as cash.
- Within 30 days of departure: No refund is available for the deposit or any balance paid, as guides, vehicles, accommodation, and other services are already committed on your behalf.
- Changes to your itinerary: We'll try to accommodate date or itinerary changes where possible, but changes are subject to availability and may affect pricing.
5. Health, fitness, and participation
Cycling tours are physically demanding and take place on open roads, trails, and varied terrain. By booking, you confirm that you and everyone in your party are in suitable health and fitness for the fitness level and tour you've selected, and you will disclose any relevant medical conditions or mobility limitations to us before departure.
We reserve the right to modify a route, pace, or activity, or to ask a participant to sit out a section, if we reasonably believe continuing poses a safety risk.
6. Travel insurance
Comprehensive travel insurance is required for all participants, and should cover trip cancellation, medical treatment, emergency evacuation, and cycling or adventure-activity participation. We recommend arranging insurance as soon as your booking is confirmed.
7. Itinerary changes and force majeure
Weather, road conditions, local events, or safety considerations may require us to adjust a route, accommodation, or daily schedule, including at short notice. We will always aim to provide an equivalent experience where changes are needed.
We are not liable for delays, changes, or cancellations caused by events beyond our reasonable control, including but not limited to natural disasters, extreme weather, political unrest, strikes, pandemics, or government travel restrictions. Where such events prevent a tour from proceeding, we'll work with you on rescheduling where possible.
8. Assumption of risk and liability
Cycling on public roads and trails carries inherent risks, including traffic, terrain, weather, and the actions of others. By participating, you accept these risks as part of the activity.
To the extent permitted by law, Sri Lanka Cycling Tours is not liable for injury, loss, or damage arising from circumstances outside our reasonable control, or from a participant's failure to follow safety guidance from guides. Nothing in these terms excludes liability that cannot be excluded under Sri Lankan law.
9. Photos and media
We may take photos or video during tours for use in our marketing, website, and social media. If you'd prefer not to be included, let your guide or our team know at any time before or during your trip.
10. Minors
Some tours may be suitable for younger riders depending on distance and terrain; this will be discussed at the enquiry stage. Participants under 18 must be accompanied by a parent or legal guardian who accepts these terms on their behalf.
11. Governing law
These terms are governed by the laws of Sri Lanka, and any disputes arising from them will be subject to the exclusive jurisdiction of the courts of Colombo, Sri Lanka.
12. Changes to these terms
We may update these terms from time to time to reflect changes to our operations or legal requirements. The version in effect at the time you pay a deposit applies to your booking.
